Where AI genuinely helps in customer service

Leaving every question to a bot drives customers away; using none at all wears your team out. Where should the line sit?

01Start with the repeated questions

A large share of incoming messages are the same few questions: opening hours, price range, address, delivery time. Answering those automatically both reassures the customer instantly and frees the team for the cases that genuinely need a person. That is the place to start, not elaborate scenarios.

02Always keep the handover open

The most infuriating experience is a system that loops on a problem it cannot solve. The moment an automated answer realises it is out of its depth, it should connect the person to a human. Making that handover easy and visible matters more than the automation itself.

03Feed it your own information

A general language model cannot know your prices, your return policy or your stock. The system should answer only from the current information you supply, and when it doesn't know something it should say so and redirect rather than invent. An assistant that gives wrong answers is worse than no assistant.

04Read the conversations regularly

The most valuable output of an automated system is not the answers it gives but the questions it collects. Reading what customers ask is the most honest report you will get on what is missing from your site. Often the right fix is not a better bot but putting that information on the page.
